    Vendor visit time-window overlap

Two vendor bookings in the same OR block. Overlap minutes > 0 means a crowding / escort conflict.

Overlapping vendor visits in the same OR block

When two vendor reps are booked into the same OR block, overlapping visits can add traffic in the room and stretch escort coverage. This visit time-window overlap tool shows how many minutes two booked visits overlap so perioperative and vendor credentialing staff can restagger them. Browse the free tools hub for related checks.

How to use this visit time-window overlap tool

Enter the start and end time for visit A and visit B. The tool shows the overlap in minutes; anything above zero means both reps would be present at once. Then pair it with the vendor density estimator for the whole day, the badge access-level picker for escort needs, and the case-day readiness scorecard.

    Compare two visit windows

    15 min

Windows overlap — restagger or add an escort.

    How to read the result

0 min means no overlap. Any positive number is how long both visits run together — restagger the visits or plan an escort for each rep, following your facility’s vendor policy.

Overlap checked — next is scheduling vendor visits, escorts, and case coverage from one calendar. Talk to a pilot team about operationalizing it at your hospital or ASC.

    FAQ

    How is the overlap calculated?
The tool takes the later of the two start times and the earlier of the two end times. If the later start comes before the earlier end, the difference is the overlap in minutes; otherwise the overlap is 0.
Why do overlapping vendor visits matter?
Two reps in the same OR block at once add traffic in the room and may need two escorts at the same time. Seeing the overlap in advance lets you restagger visits or plan escort coverage.
Does the tool handle visits that cross midnight?
No. It compares times within a single day, so split a visit that runs past midnight into two windows.
What should we do when two visits overlap?
Move one visit earlier or later, or assign an escort to each rep if both must be present. Your facility’s vendor policy decides which options are allowed.
Is this tool legal or policy advice?
No. It is an educational scheduling aid for perioperative and vendor credentialing staff. Your facility’s vendor and OR scheduling policies apply.

Educational only. Not a credentialing determination, not legal advice, and not a substitute for each facility’s policy. Vendor visit time-window overlap does not submit files to hospitals or GHX/Vendormate/Symplr.
