Expiration date calculator
How many days until a license, vaccine, COI or competency lapses. Facilities often block access at 0, and warn at 30.
Why vendor credential expiry dates matter in the OR
A vendor rep’s license, insurance, immunizations, and training all expire on different dates, and a single lapsed item can block access at the periop desk. This expiration date calculator turns one credential date into days left and a green / amber / red status so renewals start before case week. Browse the free tools hub for related credentialing checks.
How to use this expiration date calculator
Enter the expiration date from the document and an amber window that matches your facility’s warning period. Repeat for each dated item in the file — pair with the vendor credentialing checklist, the training recency tracker, and the OR access risk score before badge issue.
What the status means
Green means the date is outside your amber window. Amber means start the renewal now. Red means the item lapses within 7 days and puts this week’s cases at risk. Expired means many facilities will block access until an updated document is on file — confirm against the site’s own policy.

FAQ
- How does this expiration date calculator work?
- Enter the expiration date printed on the credential and your amber window in days. The calculator counts the days from today to that date and returns a status: Expired if the date has passed, Red if it lapses within 7 days (case-week risk), Amber if it lapses inside your amber window, and Green otherwise.
- What amber window should I use?
- The default is 30 days, a common early-warning window for facility vendor files. Set it to match your facility’s policy or the real lead time of the renewal — items that need an appointment, a lab result, or third-party processing usually need a longer window than an online training.
- Which vendor rep credentials should I track for expiry?
- Anything with an end date in the vendor file: professional licenses, certificate of insurance policy periods, immunizations and TB screening with facility windows, annual HIPAA and bloodborne pathogen training, background checks with a look-back period, and product competency attestations.
- What happens if a credential expires before a scheduled case?
- Many facilities block or suspend vendor access when a required item is expired in their credentialing system, which can mean the rep is turned away at the desk and the case goes ahead without vendor support. That is why this calculator flags anything within 7 days as case-week risk.
- Does this calculator connect to GHX, Vendormate, or Symplr?
- No. It runs in your browser on the date you enter and does not read from or submit to any hospital or credentialing system. MedTechOps pilot workflows can track expiry dates across reps and facilities and flag them before badge issue.
